ACS Accounting – Beginners
This is an entry-level course with the primary focus on the proper setup of GL accounts, customers and vendors. The review will include all the supporting codes and what they control and how they impact the system. An overview of daily activities in the accounting modules will also be covered such as: AP Invoice Entry, Cash Receipts and Journal Entries.
ACS Accounting – Intermediate
This is a more advanced course that will review the major processing steps in both the Accounts Receivable and the Accounts Payable systems. We will discuss PO Invoice Entry, Recurring Journal Entries, Check Reversals, Receiving miscellaneous cash, Bank Reconciliation, Check Printing, and printing Customer Statements. The review will also point out how to handle the exceptions to the rules. Other topics include how to utilize the PO Exclusion Entry/Open PO Receivers Tie Out to GL Report and PO Reversals.
ACS Accounting – Experienced
This course will focus on the mechanics of how the system posts, and how to audit your system to make sure the flow of information is correct. We will review the importance of updating registers on a timely basis and how all modules flow into GL through the Daily Detail Register/Update. This class will give you specifics on how to balance your major accounts such as A/R, A/P, SALES, Inventory, etc. You will learn how to use SpeedSearch more efficiently to drill-down to GL postings to access the data you need for analytical review. There will be a brief study of Month End/Year End procedures for all modules, Account Allocation Entry, and Budgeting. Those with advanced knowledge of the Master system would benefit most from this class.
The class will provide training in Vendor Maintenance, PO Invoice Entry/Register/Update, Invoice Entry/Register/Update, Payment Selection, Manual and Computer Check Printing, Accounts Payable Reports, and AP Month End Processing. In Vendor Maintenance, the Detail Information will be reviewed along with inquiries. Month end review will include the Purchase Journal, Disbursements Journal, Monthly Check Report, Aging Report, and Period End Update. This class is beneficial to new users or can be used as refresher training.
Training will begin in Customer Maintenance. Topics will include setting up new customers, using the inquiries to lookup and print historical invoices, ship-to address maintenance, creating customer notes/comments, salesperson maintenance, terms codes, tax codes, and cash receipt codes. You will learn how to set up Service Repair Parameters and Billing Rates for customers. The Cash Receipt Entry/Register/Update process will be reviewed including such topics as how to apply on-account amounts, how to offset invoices with a credit memo, how to record miscellaneous cash received (i.e. vendor rebates), and how to write-off bad debt. Month end procedures will highlight what reports to run at the end of the month, how to balance the Aging Report to the General Ledger, how to create finance charges, and how to print customer statements. This class is beneficial to new users and experienced users.
Catalog Load/ Data File Change
Loading your catalogs using Excel could not be easier when you use the Inventory Catalog Load option in Master™. First, we will have an introduction explaining what information can be loaded, where you can get this information, and the format that is required. Second, we will review where the catalog information is used in Master™ and the benefits of using this feature. Once your catalog information is defined using the Catalog Setup and Catalog Maintenance options, you can upload your catalogs using an Excel template.
We will also look at the new Data File Change options. These options allow you to make mass changes to customers, vendors, and inventory using an Excel Spreadsheet. The user can enter specific criteria for each of the Data File Change options. The Excel Spreadsheets can be edited multiple times before updating. Validation is provided to protect the integrity of your data. This class is beneficial to both new and experienced users.
Custom Financial Reports
This is an entry level class that will show how to setup your own Custom Financial Statements using the Financial report writer. Basic setup and design will be covered. You will learn how to create report headings in Financial Heading Maintenance and how to define report columns and detail lines in Financial Report Maintenance. Next, how to assign account numbers to detail lines will be reviewed along with several cross-reference reports that are helpful when troubleshooting. Learn how to print your custom financial reports. Finally, we will review how to maintain your custom reports when you need to add new accounts and how to create new reports using Copy Financial Reports option. More experienced users would benefit most from this class.
Equipment Storage
This course will review the features of the Equipment Storage system. The Equipment Storage system is designed to provide a method to maintain a database of a customer’s equipment. Once the database has been established, the system provides an interface with the Job Costing system so all repairs against equipment defined in the database can be tracked. The system also allows for preventive maintenance scheduling and repetitive billing. New and experienced users would benefit from this class.
One of the most powerful system options available to the Master™ system is the Excel interface. We will review the Excel interface for Q/A options, creating and maintaining General Ledger budgets, and using inventory templates to make mass changes to update your inventory. Prove your quality assurance to your customers with customized, professional Q/A templates generated with job specific information, your logo and company headings, and test/inspection data captured at the inspection bench. This class is beneficial to experienced Master™ users.
General Ledger, Bank Rec and Budgets
From the flow of daily processing to period end and year-end, we will discuss frequent problems and questions users have in the General Ledger Module. We will discuss how the General Ledger interacts with other modules and how to set up a chart of accounts. Then we move on to making journal entries using the Journal Entry/Register/Update process. You will learn how to use the Recurring Journal Entry/Register/Update along with the Account Allocation Entry/Register/Update process. Training will include the Daily Detail Register and how the other modules impact this register. Also, this class reviews how to balance your checkbook using Bank Reconciliation. Learn how to quickly create and maintain budgets using the Budget Maintenance for Excel and Budget Update for Excel. This class was designed for both new and veteran Master™ users.
Come and explore the world of GUI! We will start with basic navigation through the system and move on to the wide array of data found in SpeedSearch. A review includes more inquiries, more lookups and easier navigation. You will learn how to find information quickly for when you have a customer on the phone and they want answers now! Also, we will show you how the Output manager works to allow you to print to multiple file types with the click of a button! This class was designed with all Master™ users in mind.
What are the different ways to move Inventory through the Master™ system? How are cost and price affected? The class begins with a look at Transaction Entries, Costing methods and Physical Inventory. From there we move to the Service Repair Module to see how Inventory is used on Jobs. Next, we look at selling Inventory Items in Order Processing and finish up with how Purchase Orders affect the status of Inventory Items. A Q&A session at the end should help to answer your burning Inventory questions! Those users who are familiar with the Inventory basics of Master™ would most benefit from this class.
Inventory Pricing and Cost Strategies
This class begins with a review of cost configurations in your Inventory Set up. We will then review the proper way to change Item cost before moving on to pricing strategies. The pricing strategies will include direct pricing, contract pricing, and pricing table usage. Next, a review of how the price affects service repair cost, pricing and influences in quoting, estimating, material charges, PO receiving, and final job invoicing. This class was designed for those who already have a basic knowledge of Inventory in the Master™ System.
Learn and fine-tune the powerful tools available in the Master System for managing your inventory in reasonable, manageable chunks of information without getting overloaded with data. First, we will look at how to set up your inventory system parameters and vendor replenishment parameters to help you reduce freight costs, reoccurring purchases, and purchase order overhead. We will show you the reports and tools that will allow you to reduce stock-outs and zero inventory without increasing your inventory investment, manage your purchase trending, and eliminate your obsolete inventory or low turn items. This class is designed for those with knowledge of the Purchase and Inventory Systems in Master™.
This is a class to review the basic setup and use of the Inventory system. Next, Inventory Item Maintenance is reviewed before moving on to basic Inventory Transactions. Finally, we will review the use of SpeedSearch to look up Inventory Information and also examine a few of the basic reports that are useful after you have set up your inventory information. This class is for all Master™ users interested in understanding the set up of the Inventory system.
Make the tedious task of preparing Job Quotes and Job Estimates a simple task through quote templates, profiles, and average hour estimating. Learn how to prepare itemized, multi-page quotes and estimates, finally providing the cost comparisons and job direction desired without the time consuming process of line-by-line entry. You will learn how to utilize Job Quote Entry, Job Quote Profile Entry, and Job Estimate Entry to accomplish these tasks. This class was designed for any user that prepares Quotes and Estimates and has a basic knowledge of Service Repair.
Job Scheduling/Job Tracking
This class will show how to use Job Scheduling or Job Tracking to make your system more efficient and provide better control and customer service. This optional module is used to schedule or track job activities throughout the physical job flow and throughout the paperwork flow. By automatic scheduling, specific scheduling, and automatic updates, this integrated tool has become essential in many service operations. The TO DO Lists provide, when needed, information specific to the activities being completed, while keeping the managing team aware of the job status via various inquiries and reporting. The pros and cons of using Job Tracking versus Job Scheduling will also be discussed. A user with more experience in ACS would benefit most from this class.
Month End Processing
Ever wondered if you are really doing all of the tasks necessary to keep your fully integrated, real-time, on-line system updated on a timely basis? This class will outline the tasks that should be done – Daily, Weekly, Monthly, Quarterly, and Annually. Month End Processing will be reviewed for Service Repair, Inventory, Accounts Payable, Accounts Receivable, General Ledger (Month End, Period 12, Year End) and Payroll (Month End, Quarter End, Year End). All users would find this class informative.
This class is tailored to users that have the daily tasks of entering accounts payable invoices, posting invoices from purchase order receipts, entering cash receipts, and entering journal entries in General Ledger. Options reviewed are AP Invoice Entry, PO Invoice Entry, Cash Receipt Entry, and General Ledger Journal Entry. We will also look at the processing of Manual and Computer checks as well as various reports in each of the modules that help you with your daily tasks. This class is great for new employees or as a refresher for current employees.
This class will prepare you to use the time clock system, enter material charges for jobs, and enter job information. First, you will learn how to use Time clock Entry, Employee Clock-In Inquiry, and Employee Clock Display. Second, we will review what job information is needed when a job is first entered in the Job Entry, including header information, nameplate information, and special instructions. Then, we will review how to print the Job Card. Finally, we will review how to enter stock and non-stock material on a job using Material Charges Entry. Although this class is tailored for new users, current users may find it beneficial.
Almost any data that is entered into Master™ can be queried, but you first need to understand just exactly what an ODBC Driver is. Next, we will review how a database works including the wealth of information contained in the Master™ Database. Then you will be ready to create a query in Excel as we produce a few basic reports. We will finish up by showing you how to save and modify those queries to obtain the information you are looking for. This class was designed for all Master™ Users.
The class begins with creating sales orders and sales quotes. You will learn how to convert a sales quote to an order and how to print Order Picking Lists and Acknowledgments. The invoicing process will be reviewed including Invoice Entry, Invoice Printing, and the Sales Register/ Update. With just a few steps, users will learn how to create sales order credits and duplicate history orders. Learn how to process backorders with the Back Order Fill Update and Back Order Fill Picking Lists. This is an excellent class for new users and current users.
In this class, you will learn how to automatically update your payroll from the Service Repair Module to the Payroll Module. From there, we will review how these entries are posted automatically in Payroll Entry and the steps needed to process the payroll. We will highlight the reports and registers needed to assist you in processing your payroll more efficiently, including reports that can be used to file payroll taxes. Other topics reviewed are manual checks, salary adjustments, vacation/sick/bonus entries, and the check sequence number. This class is beneficial to anyone interested in reviewing the Payroll System in Master™.
Physical Inventory and Reporting
This class will cover everything you need to know about the Physical Inventory process in Master™. First we will look at physical inventory strategies including cycle codes, planning, scheduling, and processing large scale inventory counts. We will move on to review all steps in the Physical Inventory Process and how the system is affected. Finally, we will look at the various inventory reports that you can use to manage your inventory. This class is great for those users who will be performing a Physical Inventory using Master™.
This class addresses the Purchase Order and Accounts Payable functions, from the creation of a Purchase Requisition to the Payment of your Vendor’s Invoice. We begin with looking at the set up of the Purchase Order System before moving on to the creation of requisitions and PO’s. We will discuss how PO’s work to fill non-stock Orders, and how they affect accurate Job Costing. A review of how to enter the Invoice for the Purchase Order through PO Invoice Entry will be covered as well. Finally, we will look at the various reports available in the Purchase Order System. Any Master™ User who will be involved in purchasing or employees who enter AP invoices may benefit from this class.
Sales Analysis/Executive Summary
The Sales Analysis module is a wealth of information giving you many ways to view sales in your company. We will review the various reports and the different approaches to running the reports that will provide you with useful information.
The Executive Summary is a great tool that shows a day-by-day breakdown of any various summarized categories. We will look at the different options available for viewing and discuss where they come from and how they can be used to help you run your company.
This class would be best for those users who are looking to use reporting as a management tool.
Security
This class will review creating favorites menus, adding new users, and assigning security to users and menus. It will also cover the new menu security update through Excel. This course is designed for the person who is responsible for the overall maintenance of MASTER™. We will cover the basics of security, user maintenance, password protection, customization of GUI look-ups, icon definition, basic printer set-up, GUI features, adding a new user and general tips and tricks of software maintenance. Setting SpeedSearch Security and Job Inquiry Security will also be reviewed.
This class provides an opportunity to review the basics of the Service Repair system. It starts by going through the steps of a basic Job Entry and moves on to Customer Instructions Maintenance. We then demonstrate how you can post labor to the jobs. Finally, we will cover some of the best reports you can use from the Job Reporting section that will allow you to review the information entered as well as how to use the Job Inquiry function. This class is great for new Master™ users or experienced users who are looking for a review.
Service Repair 2 – Intermediate
This class picks up where Service Repair 1 ended. We will have a short review of the Job Entry process such as reviewing the information on the header screen, nameplate entry, and special instructions. The Material Charges Entry and Extended Material Charges will be discussed along with applications and actual customer examples. You will learn how to generate purchase requisitions, purchase orders, and material lists from your job estimates. Job routing configuration, applications, and actual customer examples will demonstrate how this simple feature can assist you in tracking your jobs. Job reports such as Job Cost Detail Report, Active Job Report, WIP Report, Order Turn-Around Report, and Production Schedule Report will be reviewed. We will take you through the complete Job Billing process including creating Delivery Tickets, Job Invoices, and how to process invoices if jobs are linked. We will end the class with a review of the Job Closing and the Job Reopening process. This class was designed for experienced Service Repair users.
Service Repair 3 – Experienced
This class will show you ways to manage certain aspects of your shop using the many reports available in the Service Repair system. Understanding where the information on the reports comes from then using the information is the first step in running an efficient shop. Finally, we will take a look at Bar Coding and how it can be used to streamline some of the processes in your shop. This class was designed for Master™ users who are experienced in the Service Repair area and are involved in managing day-to-day operations.
